Review the following Frequently Asked Questions (FAQs) related to general information, electronic Forms W-2, Form 1042-S, and year end information.

Payslips

When are payslips available for review?

Your current payslip will be available online on your scheduled pay date. You can view prior payslips for the current year and three previous years. Select a year and a payslip date from the drop down boxes at the top of your screen.

What should I be reviewing on my payslips after each pay?

How can former employees and inactive employees view their old payslips?

Physical copies of final payslips called pay advices are automatically mailed to a former employee’s address on file if they receive a pay after they are terminated in Pitt Worx. Former employees and inactive employees should be sure to save copies of their payslips before they no longer have access to Pitt Worx; however, former and inactive employees who did not save their payslips and no longer have access to Pitt Worx can submit an inquiry selecting Payroll > Pay Slip to request a copy of their payslip from HR Client Services.

If you are in an inactive status and need to update your address, review these instructions.

I see “REVERSED” in the “Select a Payslip” drop-down box. What does that mean?

The word reversed means that the payslip you are viewing was voided and/or reversed and may not reflect a valid payment to you. Voids/reversals may occur, as an example:

  • If the payment was incorrect.
  • If the net amount was reissued by a replacement check due to either a lost check or an incorrect direct deposit account.

Direct Deposit

How do I make a change to my Personal Payment Information? 

Follow these instructions for making changes to your personal payment information. 

All personal payment method changes must be submitted in Pitt Worx before the payroll is finalized. For biweekly, this is generally the morning of two business days prior to payday. For monthly, this is generally the morning of three business days prior to payday. If your change is made after payroll processes, submit an inquiry to HR Client Services and select Payroll > Direct Deposit

How does an employee add a bank name to their Personal Payment Information in Pitt Worx for direct deposit?

Type the routing number into the Routing Number field. Autocomplete will find the bank and will display a list to select from. The Routing Number will populate automatically. Banks located in US will be listed by default. The Bank Branch will default to the branch associated with the routing number.

Can I split my direct deposit between multiple accounts? 

The University of Pittsburgh offers the direct deposit of earnings into ONLY ONE financial account. This ONE account can be either a savings or checking account at a bank, credit union or other financial institution, provided the institution participates in the NACHA network of electronic banking. However, you may sign up with the Greater Pittsburgh Credit Union if you wish to have a savings deduction with our local credit union. Address and Tax Forms

How do I view or update my address in Pitt Worx? 

Active employees can follow these instructions to view or update their address. 

How can terminated or inactive employees update their address and tax information with Pitt? 

You will not have access to Pitt Worx since this requires Pitt Passport, but you can make changes to your address and/or tax information by following these instructions.

How do I make a change to my Form W-4? 

Follow these instructions to make changes to your Form W-4 in Pitt Worx. For more information about the Form W-4, visit this page.

I submitted a Local Services Tax exemption in Pitt Worx, do I also need to send a hard copy to the Payroll Department?

No, you do not need to send a hard copy to Payroll after you have submitted this information in Pitt Worx. 

Please be sure to verify no LST was withheld on your payslip after your next pay following the form submission.

When will changes that are made in Pitt Worx be reflected in the system?

Changes made in Pitt Worx will be reflected the next business day.

Will address changes made after December 31st be reflected on my Form W-2?

No, address changes made after December 31st will not be reflected on your Form W-2 for that year. Corrected Forms W-2 are NOT issued for address changes. This will not affect your ability to file taxes.

I am a foreign national, and I need to update my international address on file with the University of Pittsburgh. How do I update my international address?

To update your international address, complete the Foreign Change of Address Form (PDF) and submit it to Payroll’s secure upload site

Please note Forms W-2 and 1042-S can only be mailed to a U.S. Address, so be sure to opt in to receive electronic Forms W-2, if applicable. Please note that the opt-in process for Forms 1042-S is separate from the opt-in process for Forms W-2. If you are set to receive a Form 1042-S for the year, you will receive an email which will provide you with instructions on how to opt in.

Can payslips and tax forms be mailed to an international address?

No. Payslips and tax forms will be mailed to the U.S. address on file for those receiving hard copies. Please see the view & update address page for instructions on updating your U.S. address.

 

General FAQs

Do exempt employees need to submit a weekly timecard in Pitt Worx to make sure they receive their payroll? 

Exempt (monthly pay) employees are only required to submit exception timecards for time off. Hours worked do not need to be reported, and a weekly timecard is not required, except for those weeks when exception time off is taken (I.e. vacation, sick, etc.). Why am I unable to access Pitt Worx?

The following individuals will have lost access to Pitt Worx:

  • Terminated employees in any unpaid or inactive status
  • Student workers that have not received a pay in over 180 days (access will resume with next pay)
  • Employees that have not received a pay in over 45 days (access will resume with next pay)

If none of the above apply to you, please submit an inquiry and select Human Resources > System Access for assistance.

Electronic Form W-2
 

I am an active employee, how do I opt in to receive an electronic Form W-2?

Please follow these instructions.

I will be or have already terminated. How do I view my electronic Form W-2?

Once an employee is terminated or becomes inactive, they may still create a separate ADP account. They will be prompted to opt in for paperless to view their tax statements through ADP. They may opt in to view their electronic Form W-2 at any time.

I am an employee; however, I have not been paid recently and I do not have Pitt Worx Self Service access.

Since you have not been paid in some time, you will need to create an account with ADP directly with these instructions. To view your Forms W-2 through ADP or obtain a duplicate Form W-2 you must first opt in for paperless.

How can I access prior year Forms W-2?

As a courtesy, we offer duplicates for three prior years of Forms W-2 through ADP. Employees must opt in for paperless to view their prior year Forms W-2. Payroll does not print or mail duplicate hard copy tax forms.

Payroll provides an original tax form each year, and the employee has the obligation to retain their employee copy for their records. If you did not retain your employee copy for any of the years prior to the years that are currently available through ADP, below are some other options for obtaining past information:

  • Option 1:  You may contact the SSA to request a microprint copy of your Form W-2. The Social Security Administration (SSA) can help you obtain a copy of a prior year Form W-2 for a Social Security matter such as an SSA earnings investigation. You can reach the SSA by calling 800-772-1213. You can also visit the Social Security Administration (SSA) website for detailed instructions on how to obtain prior year wage information.
  • Option 2: Visit the IRS website to obtain prior year-end information
Can I access my Form W-2 through my mobile device?

Yes, Forms W-2 are mobile accessible.

I am an employee, however, had no taxable earnings in the current year.

If you do not have W-2 taxable earnings for a taxable year, you are able to opt in to receive future Forms W-2 electronically, however, a Form W-2 will not populate for that year.

Form 1042-S

Can I view my Form 1042-S electronically?

Forms 1042-S for non-resident aliens will be available online to those that opt in for the electronic version and hard copies will be mailed to employees no later than March 15.  Please note, the consent process for the online Form 1042-S is separate from the online Form W-2 consent.  If you are receiving a Form 1042-S you will be sent a separate notification with instructions to consent to the electronic version.

Who receives a Form 1042-S?

The Form 1042-S is a tax document provided to foreign nationals that receive wages covered by a tax treaty, receive scholarships, fellowships, or training grants, or other non-resident alien individuals receiving payments from the university.
