Important Payroll Reminders for Employees

Please review and share this important payroll information with all of your employees, including faculty and students paid via Pitt Worx.

  • Form W-2 Access and ADP Contact Information Needs to be Reviewed
    • We have added an enhancement to allow employees to add additional contact information to their ADP Forms W-2 accounts. Employees may now have up to two emails and two phone numbers as verification to access their tax documents. This can be significant if they need to access these important tax documents outside of Pitt Worx. Please ask your employees to view their contact information and update as needed.     • Employees may access their online Form W2 directly through ADP. The ADP access is always available for active, inactive, and terminated employees, as well as when there is a Pitt Worx Outage. Visit our year end page for more information.
    • Current active employee may also access their Forms W-2 directly through Pitt Worx at Me > Form W-2 Information.
    • Employees should opt in for paperless Forms W-2 to be able to access electronically. If they have already opted-in, they will still want to review their contact information and update as needed.
 
  • Salary and Timecard Inquiries
    • Employees should go directly to the department point of contact for any payroll or timecard questions, as all actions are submitted and approved at the department level. Employees often initially reach out to HR Shared Services or Payroll directly; however, if the action is not approved, they must be referred to the department which can lead to delays and frustration for the employee.
 
  • Employee Payslip Review
    • Employees have the responsibility to verify their personal online payslips each pay and report any discrepancies as soon as possible to you.
    • This is especially important for all new hires and employees with a recent Form W-4 change. Employee have a responsibility to ensure they have the appropriate federal income tax withholding they desire. Payroll cannot provide tax advice or review an employee's Form W-4 for accuracy.
    • When terminating, payslips should be saved as needed prior to termination, as they will lose their access to Pitt Worx and will not be able to access their payslips after they are terminated.
 
  • Address Changes
    • If an employee moves, they need to update their address in Pitt Worx. This is especially important for student workers. Many students will update their address in PeopleSoft for their student account, but neglect to update their employee Pitt Worx record. This results in incorrect taxation and important documents mailed to an incorrect address.
 
  • Employee Overpayments
    • Employees have an obligation to notify their department immediately if they are overpaid. If this is discovered after payroll completes and an employee is still active, Pitt Worx will deduct the full overpayment in the next scheduled payroll.
 
  • Concur Payments
    • For questions regarding individuals who are paid through Concur or for questions related to Forms 1099, please contact Purchase, Pay and Travel Customer Service. Please provide this contact information to individuals at the time of payment.
